Due to the Covid-19 spreading and the impossibility sometimes to perform audits despite having local auditors for suppliers’ major restrictions, Sisthema has implemented a system of remote audits.
In order to accomplish customers’ needs to have an audit report available in a short time, a distant assessment is the best option, also accepted by Authorities.
The system will be presented to both customers and suppliers: it is divided in a first part of collecting/sending documents, and in a second one of a scheduled “call” on a web platform end-to-end in order to discuss the main topic of an audit.
Besides, Sisthema proposes to the customer to proceed with an on-site audit at the same supplier, for checking all the aspects not verifiable in a remote audit.
The inspection will be scheduled once the situation has improved, and in any case, within the end of 2021.
The choice of the option off-site audit followed by an on-site one would guarantee a discounted price.
The customer contacts Sisthema Audit Operations Team and defines the audits needs (which suppliers have to be audited, applicable standards, products etc.).
Audit Operations Team can propose existing audit reports purchasing or remote-on site audits as follows.
SISTHEMA contacts the supplier to be audited and arranges the remote audit date, to be followed by an eventual on-site audit date.
SISTHEMA sends a detailed pre-audit questionnaire and reviews available documentation as previous audit reports, CoA, specifications, CAPAs, etc.
On the planned date SISTHEMA auditor and the audited supplier meet each other on a web platform (end-to-end).
The audit is performed checking documentation and interviewing auditees. Audit observations are pointed out during the closing meeting.
Remote Audit report and CAPA plan
The remote audit report is finalized based on both the pre-audit documentation and the remote audit observations. The paragraphs not directly verified (e.g. site tour) are highlighted.
On the basis of the outcome, a CAPA plan is required then to the supplier.
On-site Audit (if requested)
If requested by the customer the remote audit can be followed by an on-site audit focused on facility tour, other practical topics and specific points to be further discussed side by side.
A final audit report is issued and, on the basis of the outcome, a CAPA plan is required to the supplier.
